Terms and Conditions
These terms and conditions form a binding agreement between you (the “Client”) and Picnics with Love ABN 83803131597 (“we”, “us”, “our”). By paying your booking deposit, you confirm that you have read, understood and agree to these terms.

1. Our services
We provide styled picnic and event set-ups for private and public clients. You acknowledge that:

All events are set up in a picnic-style, typically at ground level, unless otherwise agreed in writing.

We are responsible only for the items and styling explicitly listed in your package or quote.

We do not provide staff to remain on-site unless specifically arranged in writing (additional staffing costs will apply).

2. Booking, payments and bond
To confirm your event:

A deposit of 20% of the total invoice price is required at the time of booking. Bookings will not be confirmed until this deposit is paid.

Full payment is required at least 3 days before your event date. Late payment may result in cancellation of your booking.

A $250 refundable security bond is required and will be refunded within 5 business days following your event, provided all hire items are returned clean and undamaged.

Any loss or damage to our items will be assessed at our discretion and deducted from the bond.

Payments are accepted by direct bank transfer in Australian dollars (AUD). Your event is not confirmed until the deposit has been received.

3. Wet weather policy
We do not set up picnics in unprotected outdoor locations during wet, stormy or extreme weather. If poor weather is forecast, you may choose from the following options:

Option 1: Move to an indoor venue

The indoor location must be:
-
Suitable for access and set-up.

Approved by us at least 72 hours before the event.
-
Within 10km of the original location (or additional travel fees may apply).

If there are any venue fees and charges associated with the indoor venue, these will be at your own cost.

Option 2: Marquee hire

You may choose to hire a marquee at your own cost. We are happy to assist with recommendations. However, we will not set up on surfaces that are wet or unsuitable due to weather.

Option 3: Gift voucher credit

You may reschedule your picnic and receive a credit voucher for the full amount paid, including the deposit, if at least 24 hours’ notice is given. The credit is valid for 12 months from the issue date.

4. Cancellations and refunds
All cancellation requests must be made in writing to us via email to picnicswithlove@gmail.com.
Notice period before event and refund policy:

14 days or more – Full refund.
-
4 to 13 days – Full refund minus 20% deposit.
-
Less than 3 days – No refund. A credit may be offered for the picnic set-up portion only (excluding food). If food has been ordered, we may offer local delivery within 10km of the original event location.
Please note:
-
The 20% deposit is non-refundable under any circumstance, including illness or personal emergencies, from 13 days from your event date.
-
Refunds are not offered for change-of-mind or weather-related cancellations if you choose not to proceed with any of the wet weather options.

5. Food and alcohol
We outsource food from local cafés and suppliers and will follow their requirements for preparation, allergen labelling and handling. While we take care to use quality vendors, we do not accept liability for food allergies, intolerances, or any illness resulting from food or beverage consumption.

Full food payment is due 3 business days prior to your event and is non-refundable.

You are responsible for advising us of any dietary requirements or allergies when booking.

We do not provide alcohol.
-
You may bring their own alcohol in accordance with local laws and venue regulations.

You must comply with local council and licensing laws, including drinking only in permitted public spaces.

6. Event duration and pack down

Your booking covers a specified setup and duration. Additional time may incur further fees.
-
You must ensure all guests vacate the event space by the scheduled pack down time.
-
Pack down will commence immediately following the agreed event end time unless otherwise arranged.

7. Guest conduct and public space use
You are responsible for guests' behaviour and compliance with local council rules for public spaces, including alcohol restrictions, noise levels and curfews.

8. Children and pets

Children must be supervised by an adult at all times.

Pets are only permitted at outdoor events where the location allows and must be under control at all times.
-
We are not liable for any injury, incident or damage caused by or involving children or pets at your event.

9. Property and behaviour
You agree to treat our equipment and staff with respect. You are responsible for any:
-
Damage, loss or theft of our property during your booking.
-
Cleaning required due to excessive mess (additional cleaning fees may apply).
-
Misuse or inappropriate use of equipment (e.g. standing on tables or decorative props).
You are liable for the cost of repair or replacement of any items that are damaged, lost, stolen or excessively soiled during your event. Any charges will be deducted from your security bond, and additional charges may apply if damage exceeds the bond amount.

10. Intellectual property
All content on our website, social media and promotional materials, including images, logos, text, layouts and designs, is owned or licensed by Picnics with Love.
You agree:

Not to reproduce, copy or use our images or content for commercial purposes without permission.

If sharing images from your event on social media, to credit Picnics with Love when using our styling, setups or hire items.
-
To contact us if you wish to collaborate, feature our work, or use our materials beyond personal use.
We may:
-
Request permission to use your event photos for promotional purposes.
-
Repost your images on our social media accounts
-
Reuse your image in our blog posts and email campaigns
You may opt out at any time by notifying us in writing.

11. Liability and indemnity
To the extent permitted by law, we are not liable for:
-
Delays, cancellations or disruptions due to events beyond our control (e.g. weather, illness, venue restrictions, traffic),
-
Injuries or accidents occurring during your event, unless caused by proven negligence on our part,
-
Loss or damage to personal items brought to the event by you or your guests.
You agree to indemnify us against any claims arising from your breach of these terms, inappropriate use of our equipment, or failure to follow our guidance.

12. Force majeure
If your event is disrupted or we are unable to perform our services due to events outside our control (including but not limited to natural disasters, serious illness, extreme weather or government restrictions), we will offer to reschedule your event or provide a credit valid for 12 months. Refunds will not be provided in these situations.

13. Changes and communication
All requests for changes to your booking (date, time, location, package) must be submitted in writing by email to picnicswithlove@gmail.com and are subject to availability. We will do our best to accommodate reasonable changes but cannot guarantee this once your event is confirmed.

14. Agreement
By paying your deposit or final invoice, you confirm that you have read, understood, and accepted these terms and conditions.
